This policy explains what information Lattice Service Group LLC ("Lattice", "we") collects through this website, our customer and vendor apps and our text messages, and how we use it. We work with businesses: the multi-site operators and facility management companies we serve, and the trade shops that do the repair work.
What we collect
- Contact details you give us, such as your name, company, work email, phone or mobile number, and the trades and areas you cover.
- Business records we need to set up an account, such as a W-9, insurance certificates, licenses, rates and a signed subcontractor agreement.
- Job information, such as work orders, site addresses, notes, photos, signatures and invoices.
- Texting records: your consent to receive texts, the texts we send and your replies, including STOP and HELP.
- Basic technical data when you use the site or apps, such as device type, browser and IP address. We use it to keep the service working and secure.
How we use it
- To reply to you, set up your account and check your paperwork.
- To send job offers, job updates, sign-in codes and invoice confirmations.
- To dispatch, complete and bill jobs for our customers, and to pay the shops that do them.
- To keep the records that the law and our contracts require, and to protect our service against fraud and misuse.
Who we share it with
We share information only as needed to do the work:
- Between the two sides of a job. A customer sees the work report, photos and invoice for its own job. A shop and its technician see the site, scope and access notes they need for that job.
- With service providers that run parts of our business for us, such as hosting, texting, email, payments, accounting and our customer records system. They may use it only to provide their service to us.
- When the law requires it, or to protect our rights or someone's safety.
We do not sell personal information.
Text messages and mobile numbers
We text only people who have agreed to receive texts from us, and each text is about a specific job, sign-in or account. No mobile information will be shared with third parties or affiliates for marketing or promotional purposes. Text messaging opt-in data and consent are not shared with any third party. Reply STOP at any time to stop texts, or HELP for help. Our texting terms have the details.
How long we keep it
We keep job, billing and tax records for as long as our contracts and the law require. We keep contact details while we work together, and delete them when they're no longer needed.
How we protect it
Only staff who need information can see it, and connections to our site and apps are encrypted. Bank details for paying shops are held by our payments provider, not in our own systems.
Your choices
You can ask to see, correct or delete the information we hold about you by emailing . We'll reply within 30 days. Some records, such as invoices and tax forms, we're required to keep.
Children
Our services are for businesses. We don't knowingly collect information from anyone under 18.
Changes to this policy
If we change this policy, we'll update the date at the top. For significant changes we'll also tell our account contacts.
